Garage settings
Managers onlyExport your data
Download everything your garage holds, so you have your own copy of your records.
Steps
- Open Settings and choose the Export tab.
- Choose Download export. If your garage has a lot of invoices, the export comes in parts instead, so choose Download beside each part until you have them all.
What's in the zip
- An invoices folder holding every issued invoice as a PDF. When the export comes in parts, each part holds a run of invoices, and says which beside its Download button.
- A customers spreadsheet (customers.csv) with each customer's name, email, phone, address and notes, and their answers to MOT reminder emails and MOT reminder SMS.
- A jobs spreadsheet (jobs.csv) with each job's number, start, status, customer, registration, mileage, services and assignee.
- A job notes spreadsheet (job-notes.csv) with each note's job, when it was written, who wrote it and what it says.
- An invoices spreadsheet (invoices.csv) with each invoice's number, date, status, customer, mileage, net, VAT and gross, and which invoice replaced it if one did.
Good to know
- Only the owner can export. That's the account that created the garage. Everyone else sees a message saying so.
- Each download emails you, so you'd know if someone else signed in as you to export. An export in parts sends one email per part.
- The file is named garageactive-export, then your garage's web address name, then the date. A part's name ends with its number, such as part-2-of-5.
- The spreadsheets are in part 1 when the export comes in parts.
- Each download can take a minute or two to prepare.
- The spreadsheets open in Excel, Numbers or Google Sheets.
- Photos and videos aren't included. Save any you need from the job's inspection tab.
- Export before you close your garage. Nothing can be exported once it's closed.
